Facilities and Maintenance Coordinator 

Position Summary

The Part-Time Facilities and Maintenance Coordinator helps ensure that Calvary Church’s buildings and equipment are safe, functional, clean, and ready to support the ministries of the church. This position performs routine repairs and preventive maintenance, assists with occasional room setups, and helps coordinate volunteers for larger maintenance and improvement projects.

The ideal candidate is dependable, self-directed, and able to recognize and address routine facility needs while communicating clearly about repairs that require additional expertise or outside contractors.


Primary Responsibilities

Facility Maintenance

  • Perform minor repairs involving doors, locks, fixtures, furniture, walls, plumbing, electrical components, and other building systems within the employee’s skill level.
  • Complete routine preventive maintenance tasks according to an established schedule.
  • Regularly inspect the facility and report safety concerns, damage, equipment problems, or needed repairs.
  • Replace filters, light bulbs, ceiling tiles, hardware, and other routine maintenance items.
  • Help maintain church tools, equipment, storage areas, and maintenance supplies.
  • Respond to maintenance requests from church staff and communicate the status of assigned work.
  • Recognize when a repair requires a licensed professional and communicate that need to the supervisor.

Ministry and Event Support

  • Assist with occasional room setups, furniture movement, and facility preparation for church ministries and special events.
  • Help restore rooms and common areas following projects or major events.
  • Coordinate maintenance work around the church calendar to minimize disruption to ministry activities.

Volunteer Coordination

  • Help identify maintenance projects that can be completed by church volunteers.
  • Coordinate volunteer workdays or small project teams as directed.
  • Prepare needed tools and supplies and provide volunteers with clear instructions.
  • Promote safe work practices and appropriate care of church property.


Qualifications

  • Basic knowledge and experience in general building maintenance and minor repairs.
  • Ability to safely use common hand tools, power tools, ladders, and maintenance equipment.
  • Ability to identify problems, determine appropriate next steps, and complete tasks with limited supervision.
  • Strong dependability, organization, and follow-through.
  • Ability to communicate and work effectively with staff members, volunteers, church members, and outside contractors.
  • Willingness to work a flexible schedule based on facility and ministry needs.
  • Alignment with the mission, values, and ministry philosophy of Calvary Church.


Physical Requirements

  • Ability to stand, walk, bend, kneel, climb ladders, and work in various areas of the church property.
  • Ability to lift and move approximately 50 pounds safely.
  • Ability to work both indoors and outdoors as needed.
  • Ability to safely perform physical maintenance tasks and operate basic tools and equipment.


Schedule Expectations

The schedule will be flexible and coordinated with the supervisor based on current maintenance needs, projects, and church activities. Some occasional evening or weekend availability may be requested for special events, urgent facility needs, or volunteer workdays.

Part-Time Salaried (15 Hours/Week)

Production Coordinator

Position Overview

The Production Coordinator serves as a key member of the Worship Ministry by creating excellent, distraction-free worship environments through the leadership of our production ministry. This individual will oversee the technical preparation and execution of Sunday worship services, develop and care for production volunteers, and ensure that audio, video, lighting, presentation, and livestream systems are ready to support the mission of Calvary Church.

This position averages 15 hours per week, with the majority of hours taking place on Wednesday evenings and Sunday mornings, along with flexible preparation time throughout the week.


Responsibilities

Weekend Service Preparation

  • Prepare ProPresenter presentations for all worship services.
  • Program lighting cues and scenes for worship services.
  • Prepare livestream graphics and service elements.
  • Verify that all production systems are functioning properly before each weekend.
  • Coordinate with the Worship Pastor regarding service flow and production needs.

Sunday Production Leadership

  • Arrive early to prepare production spaces.
  • Oversee production during Sunday worship services.
  • Troubleshoot technical issues as they arise.
  • Help ensure services run smoothly with minimal distractions.
  • Assist with teardown or post-service preparation as needed.

Volunteer Leadership

  • Schedule Worship and Production volunteers through Planning Center.
  • Recruit, train, and develop new production volunteers.
  • Foster a healthy, encouraging volunteer culture.
  • Provide coaching and feedback to team members.

Technical Oversight

  • Maintain familiarity with audio, lighting, presentation, livestream, and video systems.
  • Perform basic troubleshooting and routine maintenance.
  • Communicate equipment needs and repair recommendations.
  • Help maintain organized production spaces and equipment.

Additional Responsibilities

  • Assist with production needs for special events throughout the year, including conferences, holiday services, and church-wide events.
  • Participate in weekly planning meetings as requested.
  • Support other ministry initiatives as time allows.


Qualifications

Required

  • A growing relationship with Jesus Christ and a lifestyle consistent with the mission and values of Calvary Church.
  • Strong organizational and communication skills.
  • Dependable, self-motivated, and teachable.
  • Ability to lead and encourage volunteers.
  • Comfortable learning new technology and software.
  • Ability to solve problems under pressure while maintaining a positive attitude.

Preferred

  • Experience with church production or live event production.
  • Familiarity with ProPresenter.
  • Experience with livestream production.
  • Basic understanding of lighting systems.
  • Basic understanding of digital audio consoles (training will be provided if needed).
  • Experience with Planning Center is a plus.

PLANNING CENTER & FIRST IMPRESSIONS ASSISTANT

Position Summary

The Planning Center & First Impressions Assistant provides administrative and operational support to the Associate Pastor by managing Planning Center registrations, workflows, ministry follow-up, and First Impressions scheduling. This position helps ensure that ministry events are organized, volunteers are scheduled, guests receive timely follow-up, and Sunday morning hospitality areas are fully supplied and prepared.


Primary Responsibilities

Planning Center Administration

  • Create, maintain, and monitor registrations for churchwide and ministry-specific events.
  • Manage Planning Center workflows and complete follow-up assignments as directed by the Associate Pastor.
  • Maintain accurate participant, volunteer, and registration information.
  • Communicate registration details, deadlines, changes, and follow-up needs to ministry leaders.
  • Assist ministry teams in using Planning Center effectively for registrations, communication, and follow-up.
  • Generate reports and registration information as requested.

First Impressions Coordination

  • Schedule volunteers for all First Impressions areas, excluding the Security Team.
  • Coordinate with team leaders to fill vacancies and address scheduling needs.
  • Assist with recruiting, onboarding, and communicating with First Impressions volunteers.
  • Maintain accurate volunteer schedules and contact information in Planning Center.
  • Provide volunteers with timely reminders, instructions, and schedule updates.

Sunday Readiness and Supplies

  • Monitor and maintain supplies for welcome areas, hospitality stations, volunteer spaces, and other First Impressions environments.
  • Personally prepare and organize materials needed for Sunday mornings.
  • Ensure supplies are replenished, organized, and ready before each weekend.
  • Communicate facility, equipment, or supply needs to the Associate Pastor.


Administrative Support

  • Provide administrative support to the Associate Pastor as assigned.
  • Work collaboratively with ministry staff and volunteer leaders on registrations, workflows, communication, and follow-up.
  • Help develop and maintain clear, consistent administrative systems.
  • Handle personal and ministry information with discretion and confidentiality.


Qualifications and Expectations

  • Demonstrates a growing relationship with Jesus Christ and supports the mission, beliefs, and ministry philosophy of Calvary Church.
  • Highly organized, dependable, detail-oriented, and able to complete assignments independently.
  • Comfortable learning and using Planning Center, email, spreadsheets, and other church-management tools.
  • Communicates clearly, professionally, and pastorally with staff, volunteers, guests, and church members.
  • Able to manage multiple projects, meet deadlines, and follow through on assigned tasks.
  • Willing to receive direction from the Associate Pastor and respond to reasonable requests from senior staff.
  • Previous administrative, volunteer-coordination, hospitality, or Planning Center experience is preferred.
